Refund & Cancellation Policy

At PHOTOBOOTH KC, we lock in your date and dedicate our equipment and staffing exclusively to your event. Because we remove your date from our availability calendar, we enforce the following cancellation and refund policies.

1. The Reservation Deposit

To secure your event date, a $99 deposit is required at the time of booking.

  • This deposit is strictly non-refundable under any circumstances.

  • The $99 will be applied toward your final total rental amount.

2. Balance Payments & Cancellation Deadlines

Your remaining balance is due no fewer than 3 business days before your event date. Our refund structure for cancellations is based on how much advance notice you provide in writing:

  • 7+ Business Days Notice: If you cancel your event at least seven (7) business days prior to the scheduled date, you will receive a refund of any balance paid, minus the non-refundable $99 deposit.

  • 3 Business Days or Less Notice: If you cancel three (3) business days or less before the event, the full rental amount is retained by PHOTOBOOTH KC, and no refund will be issued.

Note: Once the 3-day Balance Due Date has passed, any amounts paid become entirely non-refundable, and PHOTOBOOTH KC is released from its obligation to perform services.

3. Date Changes

If your event plans change and you need to reschedule:

  • Requests must be made in writing at least 10 days in advance of your original event date.

  • Date changes are subject to equipment availability and require a newly signed rental agreement. Both parties must consent to the change.

4. Special Circumstances & Operational Adjustments

Full or Prorated Refunds

  • Photo Booth Failure: In the rare event that PHOTOBOOTH KC fails to provide a fully operational photo booth for your event, your sole remedy is a full refund.

  • Partial Service Interruption: If partial services occur due to conditions beyond our reasonable control, any compensation or partial refund will be negotiated on a prorated basis at that time.

Scenarios Not Eligible for a Refund

No refunds, partial or otherwise, will be issued in the following scenarios:

  • Early Event Concluding: If your event ends earlier than expected, no partial refunds are given.

  • Inclement Weather: If the weather is deemed unsafe or inclement, our team reserves the right to cease operations to protect the equipment and attendees. No refund will be given.

  • Unsafe Working Environment: If our attendants face hazards, threats, violence, or harassment of any kind, they reserve the right to shut down operations immediately. No refund will be given.

  • Momentary Technical Downtime: Brief interruptions for standard technical optimization (such as changing equipment batteries, adjusting lighting, or minor platform adjustments) do not qualify for a refund.

  • WiFi Delays: Our digital delivery and printing rely on a stable WiFi connection. If the venue's WiFi is weak or unavailable, digital images will be delivered within 24 hours after the event, and a slow connection does not qualify for a refund.
